Every household bill, organized and ready for your approval.

For families with several residences, trusts, entities, and advisors, bills arrive from everywhere and it is hard to know what has been received, approved, paid, and recorded. Wolf Pine Bookkeeping organizes every bill, presents it to you for approval in BILL, schedules the payment you authorize, and reconciles it into the household books.

One bill, six steps, one gate

Every household bill follows the same path. Wolf Pine Bookkeeping does the preparation and the recordkeeping. The family holds the one step that moves money.

  1. Step 1

    Establish the household structure

Residences, trusts, entities, payment accounts, and the designated approver are documented before any bill moves.

  2. Step 2

    Route every bill into BILL

Mail, email, portals, and autopay notices are forwarded into one system instead of staying scattered.

  3. Step 3

    Review and prepare each bill

Vendor, amount, due date, and invoice are checked. The bill is assigned to the right property, trust, or person, and anything unusual is flagged.

  4. Step 4

    You review and authorize

Weekly, every two weeks, or monthly, you see each original bill and its proposed payment, then approve, reject, or ask a question.

Only the designated approver can authorize a payment
  5. Step 5

    Schedule the authorized payment

Once approval is recorded in BILL, the payment is scheduled from the linked family account. Status stays visible to you.

  6. Step 6

    Reconcile and report

The payment is reconciled in the household books, so invoice, approval, payment, and ledger entry read as one transaction.

When a household needs more than a calendar of due dates

Professional bill-pay support tends to become useful when three things are true at once.

The structure is complex

  • The family maintains multiple residences, trusts, or other entities.
  • Expenses must be assigned to the correct property, trust, entity, or family member.
  • Household payments need to show up accurately in the family’s financial reports.

Several people are involved

  • Family members, assistants, trustees, or advisors each handle part of the process.
  • An aging parent or another relative needs help keeping payments organized, with family oversight.
  • The CPA and other advisors need organized records and supporting documentation.

Visibility has slipped

  • Bills arrive by mail, email, online portals, and automatic payments.
  • It is hard to tell which bills have been received, approved, or paid.
  • Recurring charges and autopayments are not reviewed consistently.
  • You want a documented approval before any payment is made.

The point is a repeatable process that connects each payment to the family’s books and preserves a clear record of what occurred.

Bill pay works better when it is connected to the books

A payment can leave the right account and still be filed to the wrong property, trust, or category, with the invoice drifting away from the accounting entry. Because Wolf Pine Bookkeeping keeps the books as well as the bills, one payment becomes one connected record.

What stays consistent

Seven things that usually drift apart when bills and books live in different hands.

  • The original invoice
  • The person who authorized it
  • The account it was paid from
  • The property, trust, entity, or person it belongs to
  • The category used in the books
  • The payment shown on the bank statement
  • The figures in the household reports

You retain approval and control

Convenience should not cost the family its control. The line between what Wolf Pine Bookkeeping does and what it will never do is written into every engagement.

Wolf Pine Bookkeeping does

  • Receive, organize, and record every household bill
  • Assign each expense to the right property, trust, entity, or person
  • Flag duplicates and unexpected charges for your review
  • Present each bill and its proposed payment for your decision
  • Schedule payments after your authorization is recorded
  • Reconcile completed payments and keep the supporting records
  • Report to the family and, with your permission, its advisors

Wolf Pine Bookkeeping never

  • Authorizes a payment on the family’s behalf
  • Signs into the family’s online banking portals
  • Takes custody of client funds
  • Makes discretionary spending decisions
  • Decides whether the family should incur an expense

The family retains ownership and control of its bank accounts. The designated approver retains exclusive authority to approve payments, and no payment proceeds until that authorization is recorded in BILL.

The engagement defines

  • Who is designated to approve payments
  • Which accounts, properties, trusts, and entities are included
  • How bills are submitted through BILL
  • How often bills are presented for review
  • What information the approver will see
  • How questions and unusual charges are handled
  • Which reports and supporting records are provided

What the service can include

Scope is designed around the household’s structure and monthly activity. The work falls into four groups.

  • Recording and reconciling completed payments
  • Reviewing recurring payments and subscriptions

Records and reporting

  • Maintaining supporting records for paid expenses
  • Producing reports for the family and its advisors
  • Coordinating information with your CPA, attorney, trustee, or other professionals when requested

The service can cover residences, utilities, insurance, household employees, professional fees, travel, memberships, subscriptions, property maintenance, and other household obligations included in the engagement.

Bill pay runs through BILL

All household payments managed by Wolf Pine Bookkeeping are processed through BILL, which gives one place to receive bills, record their details, document approvals, schedule payments, and preserve supporting records. Wolf Pine Bookkeeping does not execute payments by signing into a family’s online banking portals.

Privacy and professional coordination

Household financial information is highly personal. The engagement limits access to what is necessary and keeps responsibilities clear among Wolf Pine Bookkeeping, the family, and its other professionals. With your authorization, records and supporting information can be shared with your CPA, attorney, trustee, or financial advisor. The family decides who receives what.

Wolf Pine Bookkeeping provides bookkeeping, recordkeeping, payment administration, and financial reporting. It does not provide tax preparation, tax advice, legal advice, investment advice, financial planning, trust administration, fiduciary decisions, or formal court accounting.

Pricing

Household bill pay is an add-on to ongoing family bookkeeping. The bill-pay fee depends primarily on how many bills are processed each month.

The final monthly fee also reflects

  • Number of bills processed
  • Bank and credit-card accounts
  • Residences, trusts, and entities
  • Frequency of approval reviews
  • Complexity of the approval process
  • Household payroll activity
  • Reporting and advisor coordination
  • Condition of the existing records

Initial BILL setup, organization of historical records, or cleanup of an existing bill-pay process may be quoted separately. BILL subscription and transaction fees are separate unless the engagement proposal states otherwise.
